A khata that cannot go wrong quietly

  • Passbook. One account at a time with a running balance, a brought-forward line and a date range in Indian Standard Time.

  • Receipts and payments. Record what a client gives you or what you return: cash, gold and silver in one document, after a review of the exact effect.

  • Cash book. Every rupee received on orders, every receipt and every payment of a day, with totals.

  • Client statement. A printable statement of all three accounts for any period.

  • Cancellations that keep advances. Cancelling an order reverses what was charged; metal and cash the client already gave stay with them as advance.

  • Only the right people. Balances are for the owner and managers. Staff never see them, not even on a printed order.

Know today’s cash in and cash out

The cash book lists every cash entry of a day with its time, client and source, and its totals match the dashboard.

Ledger questions

What is a gold and silver ledger?

It is the khata you keep for each client, in three separate accounts: fine gold in grams, fine silver in grams and cash in rupees. Every order, receipt and payment adds an entry, and the balance is the sum of the entries.

Can I enter opening balances when I start?

Yes. When you add a client you can enter the gold, silver and cash they carry with you today, and say whether the client owes you or you owe the client.

Can a receipt have gold and cash together?

Yes. One receipt or payment can carry cash, gold and silver together. Each goes to its own account.

Can entries be edited or deleted?

No. Entries are never changed or removed, so the history always adds up. A wrong order is cancelled with a reason, and the owner can record an adjustment with a reason when a balance needs correcting.

Can I give a client a statement?

Yes. The passbook has a print view with your company details, the client’s details and all three accounts for the period you choose.
